Emails
Configure SMTP, customize the emails WemX sends, choose email themes and send mass emails.
WemX sends email for account security, orders, payments and subscriptions. Every message is also saved in a log, so customers can read their emails in the client area inbox and staff can see what was sent and whether it was delivered.
Everything lives under Admin → Emails:
| Page | Purpose |
|---|---|
| Emails | Log of every email sent, with its status (delivered, failed, read). |
| Configure | SMTP connection settings. |
| Templates | Edit the subject and text of each automated email. |
| Mass Mails | Send or schedule an announcement to a group of customers. |
Configure SMTP
Go to Admin → Emails → Configure and fill in your mail provider's details:
| Field | Example |
|---|---|
| Host | smtp.postmarkapp.com |
| Port | 587 |
| Encryption | tls (port 587) or ssl (port 465) |
| Username / Password | Your SMTP credentials |
| From address | billing@yourdomain.com |
| From name | Acme Hosting |
Emails are sent by the queue worker. If it isn't running, emails pile up and are never delivered. If emails show as failed in the log, open one to see the error.
Email templates
Every automated email is defined as a template with a subject, a body, an optional button and a set of placeholders. Go to Admin → Emails → Templates to see them, grouped by area.
Templates include:
- Account: email verification, password reset, account created and activated, new login, password changed, two-factor authentication enabled/disabled, and email address change.
- Orders: confirmation, activated, suspended, unsuspended, terminated, extended, transferred, renewed with balance, renewal failed (not enough balance), and member invited/accepted.
- Payments & subscriptions: payment paid, subscription activated, cancelled and inactive.
- Admin notifications: batches of orders suspended or terminated by the scheduler. These go to the primary admin.
- Extensions: extensions add their own, for example tickets opened, replied and closed, or "Pterodactyl account created".
Editing a template
Open a template to change it:
- Enabled: turn a template off to stop sending that email entirely.
- Subject: supports placeholders.
- Body: each line becomes a paragraph. Markdown such as
**bold**and links works. - Button text: only the label can be changed. The URL is generated when the email is sent, for example a link to the order.
Placeholders use double curly braces. The editor lists the ones each template supports:
Subject: Your {{package_name}} order is now active
Body: Order #{{order_id}} renews at {{cycle}}. Next due date: {{due_date}}.Your changes are saved as an override of the default text. Click Reset to default to go back to the original text.
Email themes
The design that wraps every email is an email theme. WemX ships with default, dark and client-dark. Choose the default under Settings → Application → Default Email Theme. Mass mails can use a different theme for each campaign. You can install more themes from the Marketplace.
Mass mails
Use mass mails for announcements, maintenance notices or newsletters.
-
Go to Admin → Emails → Mass Mails → Create.
-
Write the subject and body (Markdown is supported) and pick an email theme.
-
Choose an audience:
Audience Who receives it All customers Every customer account, excluding staff Marketing subscribers Customers who opted in to marketing emails Customers with orders / without orders Customers who have, or have never, placed an order Customers with a package Customers with an order for a package you select Customers by order status Customers with an order in a given status, for example suspendedCustomers by account status Active, pending or suspended accounts Customers with unpaid invoices Anyone with an open invoice Customers with a subscription Customers with a gateway subscription Customers by country Customers whose account country matches -
Optionally narrow it further with Marketing opt-in only and Verified email only.
-
Choose Send now or Schedule for a specific date and time.
The scheduler picks up queued mass mails every minute and sends them in the background. Open a mass mail to follow its progress.
Use Marketing opt-in only for anything promotional. Service notices, such as planned maintenance, can usually go to every affected customer.
Sending a single email
To email one customer, open them under Admin → Customers and use Send Email. The message is logged in their email history and appears in their client area inbox.
